PURPOSE:The purpose of this position is to serve as the Custodian of Records, oversee and maintain SCCDOC contracts, and complete Sunshine Law requests in a timely manner. The Warrant Supervisor trains, directs, supervises, and evaluates performance of staff assigned to the DOC Warrants Unit. This position acts under the supervision of the Director - Corrections.

JOB DESCRIPTION:

  • Serves as the Custodian of Records.
  • Completes Sunshine Law requests in a timely manner.
  • Maintains SCCDOC contracts for accuracy and keep administrators abreast of contract renewal needs and assists with developing RFPs for contractual bids.
  • Performs background checks on potential contracted employees, vendors, visitors, and other non-County staff requesting entrance into the secure side of the facility.
  • Trains and supervises assigned Warrants Unit personnel.
  • Maintains training manual for Warrants Unit.
  • Assists in the hiring of assigned staff.
  • Creates work schedules for Warrants Unit personnel.
  • Reviews the work of all assigned staff and investigates to resolve issues.
  • Oversees the receipt, maintenance, and return of warrants, as well as their respective entries into MULES (Missouri Uniform Law Enforcement System) and REJIS (Regional Justice Information Service).
  • Log and prepare retention protocol for internal files for yearly destruction
  • Monitors and ensures the accuracy of entries into MULES, REJIS, and other department records.
  • Serves as TAC (Terminal Agency Coordinator) or ability to obtain within 6 months; coordinates all required MULES/REJIS training and certification for department personnel; maintains user agreements with criminal and non-criminal justice agencies.
  • Performs a variety of office work and support, which includes but is not limited to preparing/completing forms and reports, written correspondence, filing, creating/updating department records.
  • Maintains email and phone contact with MSHP Troop Trainer in reference to MULES issues.
  • Establishes and maintain working relationships with various law enforcement agencies, the judicial system, government agencies, and other organizations that foster effective communication.
  • Performs data entry; sort, code and verifying information; prepares documents for data entry and proper indexing; gathers information; determines if information meets established criteria.
  • Enters, validates, and revises warrant information on department computer, Jail App management System, Case Net, and Microsoft Word.
  • Maintains records; files records according to filing system sequence; retrieves files; creates, updates, edits, deletes, verifies, adjusts, and closes records; certifies records.
  • Prints criminal histories for warrant entry and for potential employees and maintains dissemination log.
  • Prepares, types, and sends letters, court proceeding results, state notifications, and various other forms.
  • Photocopies documents; operates shredder, fax machine, and printers.
  • Processes legal documents to hold suspects in other jurisdictions.
  • Serves as liaison between department and courts, PAs office, MODOC facilities, and other jurisdictions, in a limited capacity.
  • Sends and responds to law enforcement inquiries.
  • Ability to communicate directly with the courts on a daily basis for warrant inquiries
  • Enters Municipal County, traffic, misdemeanor, and felony warrants.
  • Assists with the warrant validation process, within the guidelines.
  • Periodically assists MHSP (Missouri State Highway Patrol) officials in auditing warrants entered into MULES/NCIC.
  • Files warrants and other documents as needed.
  • Assists with intakes of court clients, including screenings and assessments, who have been ordered to participate in an electronic monitoring program (GPS).
  • Schedules orientation and installation appointments for all new referrals.
  • Assists with maintaining daily equ pment alerts such as communications and inspections of equipment as needed.
  • Assists with special projects and other administrative duties.
  • Submits maintenance requests to Facilities department.
  • Performs other duties as assigned.
