Job Summary:

The Document Control Assistant will provide support for the Document Control Department as instructed by the Document Control Manager and/or Specialist per instructions defined in the Document Control Procedures and Project Execution plans for assigned projects.

Primary Job Function:

  • Provide assistance with project document/information plan(s) for the project(s), ensuring alignment with in-house processes and procedures as well as client specific requirements.

  • Assist Document Control with maintaining document control management systems between office/client/external offices and construction site.

  • Assist Document Control to Identify/action any project level deviations from the procedures as related to document control.

  • Provide assistance to ensure the latest revision of all documents produced for the project are recorded and distributed to all concerned parties.

  • Assist with coordination and execution of final handover of data/documentation

  • Assist with coordinating with Material Management Group to expedite procurement processes from initial requisition through final documentation handover from supplier.

     

    Experience:

  • A minimum of 2 years of pertinent and relative project experience in Material Management, Expediting, Requisition Processes and Purchase Order development preferred.

  • Experience in Oil & Gas related projects preferred.

     

    Education/Training:

  • High school diploma or equivalent.

     

    Competencies:

  • Proficient in Microsoft products, particularly Excel.

  • Advanced skills in web collaboration systems; such as SharePoint and/or Live Link.

  • Ability to utilize basic mathematical concepts (add, subtract, multiple, percentages, etc.).

  • Understand electronic data formats and production processes.

  • Understand retention requirements.

  • Experienced in applying and working to departmental and project related procedures.

  • Accuracy, timeliness, and problem-solving skills.

  • Utilizes organizational skills with good attention to detail and emphasis on quality.

  • Must be a self- starter with the ability to work in a fast-paced environment.

  • Displays good written and oral communication skills and employs effective listening skills.

  • Displays tactful, mature and professional demeanor with the ability to work with diverse personnel and vendors.

     

    Physical Demands:

  • Regularly required to sit, talk and hear.

  • Frequently required to reach with hands and arms to grasp.

  • Occasionally required to stand; walk and stoop, kneel, crouch, or crawl.

  • Occasionally lift and/or move up to 10 pounds.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
