Bilingual Medical Office Assistant Full-time Hours: 8:00am - 4:00pm with 30 minute lunch Days: Monday through Friday $16-$16.75 per hour

Job Description: We are looking for a reliable Office Assistant who is willing to help the company operate day-to-day, so employees can perform to their highest ability. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve betterresults.

Responsibilities:

  • Answering Phones:Office assistants often serve as the first point of contact for incoming calls, taking messages, and directing calls to the appropriate person or department.
  • Greeting Visitors:Welcoming visitors, clients, and vendors to the office, and directing them to the appropriate area or person.
  • Managing Correspondence:Sorting and distributing incoming mail and emails, as well as drafting responses to routine inquiries.
  • Scheduling:Assisting in scheduling appointments and meetings, coordinating calendars, and sending out meeting reminders.
  • Filing and Organization:Maintaining organized filing systems, both physical and digital, for important documents and records.
  • Data Entry:Inputting and updating data in databases, spreadsheets, or other software systems.
  • Office Supplies Management:Ordering and maintaining office supplies and ensuring that necessary equipment is in working order.
  • Basic Bookkeeping:Assisting with basic financial tasks such as invoicing, expense tracking, and reconciling receipts.
  • Assisting with Projects:Providing support to colleagues and managers on various projects, including research, document preparation, and coordination of tasks.
  • General Administrative Support:Performing miscellaneous administrative tasks such as photocopying, scanning, faxing, and filing.
  • Being able to sit for long periods of time
  • Being able to stare at a screen majority of the day
  • Run office errands during working hours

Qualifications:

  • Bilingual in Spanish is required
  • Exceptional customer service
  • 3 months experience working in an office setting preferred, medial office exp is a plus
  • Flexibility and the ability to prioritize new tasks as they come in
  • Interpersonal skills
  • Time management and ability to meet deadlines
  • Strong organizational skills and ability to multitask
