The Corporate, External, and Legal Affairs (CELA) Head Quarters (HQ) Team, who support Microsoft’s CELA department, is looking for a results oriented, innovative, and collaborative self-starter to fill the role of Executive Business Administrator. Reporting to the Deputy Chief of Staff and Senior Director of CELA HQ, this individual will support the various operations and workstreams supporting the CELA HQ team. The role will also provide back-up assistance to the Executive Admin to the Vice Chair and President.

A successful candidate will have in-person collaboration, planning, organizational, time management, and problem-solving skills. You should be able to multi-task, demonstrate attention to detail, meet deadlines, and be comfortable working independently. The ability to work under pressure in a fast-paced environment and be able to move forward without having every detail locked down is essential to success. Proficient written and verbal communication skills are essential.

The Executive Business Administrator will be a member of the CELA HQ Team, reporting to the Deputy Chief of Staff, which supports the office of Microsoft’s Vice Chair and the department’s rhythm of business, external relations, finance, employee and executive communications, and business management functions that support the broader department.

Responsibilities

  • Provide support and assistance to the Executive Administrator, as well as providing back up coverage when needed.

  • Provide the CELA HQ team with team administration support including opening PO’s, paying invoices, ordering supplies, assisting in expenses, etc.

  • Supporta complex and dynamic dailycalendar with an eye toward accuracy and time management.

  • Manage international travel scheduling end-to-end including the proactive anticipation of logistics and itineraries.

  • Complete executive’s expense reports in a compliant and timely manner.

  • Maintain the confidentiality of highly sensitive material with tact and professionalism.

  • Provide support at CELA events including leadership meetings, All-Hands meetings, etc.

  • Manage and maintain department aliases and distribution groups.

  • Work closely with the Chiefof Staff and Deputy Chief of Staff on aligning the Rhythm of Business processes and operations with Leader’s calendar and ensure tight coordination of commitments. 

  • Additional daily administrative tasks may be required as well.

Qualifications

Required/Minimum Qualifications

  • 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Additional or Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)

  • OR equivalent experience.

  • 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

  • Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all transactions including communicating and working with confidential and sensitive information.

  • Balanced skill profile including attention to detail, problem solving and decision making, organization and time management, and communication skills.

  • Ability to work successfully in a global team environment, including the ability to build effective cross-group working relationships and ability to work collaboratively with people at all levels of the organization.

  • Ability to accommodate varying work styles and perspectives of diverse individuals and groups.

  • Ability to act with appropriate urgency and to make course corrections as needed in response to changing work situations.

  • Demonstrated proficiency in Windows, Outlook, Word, Excel, Visio, PowerPoint, and SharePoint.

  • Working knowledge of MSFT internal tools such as Manager Self Service (MSS) Tool, MS Expense 2, and My Order.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.16 - $64.90 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $43.08 - $71.25 per hour.
