The Colorado State University System Office of the Chief Academic Officer is seeking a Project Manager to support the CSUS’s grant-funded Systemwide Collaborative for Advancing Learning and Equity with Data (SCALED) initiative. Building on a decade of progress in student success across CSU System campuses, our overarching goal is to eliminate equity gaps for first-generation, limited-income, and racially minoritized students by September, 2028.
SCALED is a multi-year, multimillion-dollar project funded by a grant from the U.S. Department of Education’s Postsecondary Student Success Grant Program. The project coordinates student success efforts across CSU System campuses and is led by a team of campus leaders encompassing student success, advising, academic affairs, information technology, and institutional research.
SCALED sets forth three primary objectives: (1) Transform the CSU System’s data strategy (planning, collection, and utilization) from three distributed models to one centralized approach by September, 2027. (2) Develop a Systemwide Advising Network comprising faculty, staff, and administrators from all CSU System campuses that focuses on expanding a culturally engaged student support framework, equitable advising practices, and the promotion of increased transfer, retention, and baccalaureate degree completion rates, while also addressing key barriers such as data utilization, consistency, advisor support, and early student intervention. (3) Expand and adapt My Learning Analytics (MyLA), a tool that empowers students to improve their own academic outcomes through a better understanding of their online course performance and progress, to all three campuses, adding MyLA to five new courses annually for four years (twenty courses in total).
Description of Job
The Student Success Project Manager directly supports the Project Director and their project team(s) for the duration of the award period by facilitating discussions for strategic planning, providing feedback on compliance questions or best practice, creating and maintaining project management documentation (such as project plans, meeting agendas and notes, communications plans, budgets, etc. as needed), scheduling and moderating meetings, etc. The Student Success Project Manager may also serve as a liaison between the Project Director and any subawardees and/or consultants as needed.
Reporting to the SCALED Project Director, the Student Success Project Manager is responsible for coordinating research activities, preparing budgets, handling compliance issues, budget revisions and project closeouts, collecting and maintaining project data for dissemination to funding agencies, and providing technical assistance and data analysis support. The Student Success Project Manager will also assist with other tasks related to grant administration, such as scheduling and attending meetings, taking and disseminating notes, and organizing project materials.
In addition, the Student Success Project Manager will work with the Executive Director for Graduate Studies and Research at CSU Pueblo, Assistant Vice President for Student Success at CSU Fort Collins, and Assistant Vice President of Student Achievement and Services at CSU Global to coordinate SCALED’s Systemwide Advising Network and learning analytics activities, CSU System-led meetings, and other activities. Tasks may include collaborating with supervisors to research and report on holistic advising across the System; drafting materials for and presenting at academic conferences; attending meetings and taking and disseminating notes; and assisting with planning and running in-person and virtual workshops focused on student success and equity education.
This full-time position is intended to be remote, with occasional need for travel and opportunities for on-campus/site travel based on a mutually agreeable schedule with the SCALED Project Director. The Student Success Project Manager will be provided with a dedicated personal workspace (when on-site), computer and technology as needed. This position is funded by a four-year SCALED grant.
Primary Duties
Project Management Support
Assist Project Director/and Project Teams in defining and refining end goals and work products of research efforts
Manage projects as assigned to support efficient, effective and successful research efforts, including, but not limited to:
Manage and facilitate project activity scheduling, meeting set-up, and calendar operations
Assist with proposal drafting as it relates to how the project will be executed and managed
Draft task lists/Work Breakdown Structures for project success
Coordinate with sub-awardees, consultants, and stakeholder groups
Ensure that projects remain in-scope and meet budgetary, scheduling, and quality standards
Draft agendas and moderate meetings
Identify and administer changes in project scope when appropriate
Ensure adherence to legally binding grant requirements
Budget Management and Reporting
Interact and work with system-wide grant accountants in the office of Sponsored Projects to provide information as needed to ensure projects progress as expected by sponsors
Collaborate with assigned PIs to obtain data, ensure budgetary compliance, and address audit, revision, and closeout requirements
Monitor project budgets, ensuring adherence to funding requirements and budgetary constraints
Prepare timely and comprehensive financial reports and budget revisions as needed
Collect project performance data and budget information from subcontractors involved in the project
Coordinate team meetings for post-award project activities
Assist in document collection and submission during audits
Support purchasing activities, adhering to departmental and University rules, regulations, and timelines
Narrative and Statistical Analysis and Reporting
Perform data analysis (collect, organize, and evaluate) under direction of Project Director or supervisor
Prepare data reports, charts, tables, etc.
Write and disseminate project reports, updates, news items, etc. as needed
Review and edit final technical project reports
Implement all research activities within an ethically-based framework and in accordance with good research practices, i.e., Federal, State, and Institutional regulatory requirements

Minimum Qualifications
Five to ten years of related research administration and project management work experience
OR
Bachelor’s Degree and four years of related research administration and project management work experience
OR
Master’s Degree and two years of related research administration and project management work experience
Proficiency in Microsoft Office programs, in particular, Word, Excel, and Teams/SharePoint; Google Drive; and similar applications.
Experience with budget preparation and management
Experience with managing complex projects
Experience with event planning
Experience in a position or activity that required problem-solving and decision-making skills
Experience in a position or activity that required excellent communication and organization skills
Experience that required the ability to function as part of a team and to work with minimal supervision
Experience:
Preparing reports for oversight groups
Maintaining accurate up-to-date records following grant guidelines and policies
Working with diverse populations in culturally competent and emotionally intelligent ways
Facilitating the exchange, coordination, and collaboration of information, work, and projects/events
Preferred Qualifications
Project Management Professional (PMP)®
Familiarity with foundational and current research on student success in higher education
Institutional Review Board (IRB) methodology and protocols
Familiarity with research methodologies – design, data collection, analysis, and interpretation of both qualitative and quantitative data
Experience with educational research and research methodologies (qualitative and/or quantitative).
Experience in university systems, equity education, and higher education policy.
Experience leading multi-site teams
Experience maintaining accurate up-to-date records following university, college, and department guidelines and policies
Database management experience
